Logged on users

Keep getting the “too many users logged on” message? Here are a couple of different options to remedy that!


The first option you have is to buy more BookMan licenses! Of course, sometimes that isn’t always a good short-term option for you….


Another option is to use the new
Logged on Users
Feature in BookMan. This new option will give you the ability to see who has been in BookMan the longest, and log them out of the system.

If you go under your File Menu and select Logged on Users you can select Locks Held, All Users and Inactive Users.

The Locks Held option shows you each user that is logged into BookMan and has a contract open (or Locked). Using the example below, BookMan shows you the user name and what machine they are accessing BookMan from. It also shows you how long they have had a “lock held” or looking at a contract. It puts them in the order of who has the lock held the longest, so you can log off user who has had the record locked the longest first (if desired).


The All Users option will show you all the users that are currently logged into BookMan and will include those that don’t have a contract currently open. This includes users that are running a report or a batch.


The Inactive Users option will show you users who are logged in but, idle, If you need to log off users this would be the first ones to log off (before those who are active).



To Log Off a user you can double click on the user and BookMan will prompt you to log off the user.








The third option is to be sure you are using the Auto Log-Off feature available in the BookMan Preferences or in the User Record (or both!).


Under your Admin/BookMan Preferences General tab the Auto Log-Off feature can be set to Never, Lenient, or Aggressive. By setting this in the preferences, this will be the “default” setting for all the users logging into BookMan.


In the pull down menu, if you choose Never it won’t ever log users out of BookMan.

If you select Lenient it will log off users after the allocated time, but only if they don’t have a lock held (i.e. if they aren’t in a contract).

If you select Aggressive it will auto log-off the user if they have a lock held (or are in a contract).

You select the default time limit where it says “Log-off after…”.

BookMan won’t kick the user out EVER if they are running a global search, or a report. These settings are only if the user is running idle or has a contract open.

Commission Status

Do you ever get stumped when trying to figure out why a contract isn't paying commission? In 2.8.1, under the contract menu, you now have the option to check the Commission Status. To check the Commission Status, from the Editing Contract window, select Contract from the menu bar.

From the contract menu, select Commission Status.

The Commission Status window will open and give you an explanation as to why the contract is or isn't paying commission.
